Overview
Order Forms allow you to create structured, criteria-based orders for clients to purchase leads. You can define lead prices, set renewal dates, establish start/end dates, and control whether orders are based on a number of leads or a dollar-based threshold, and even allow new client sign-ups. This streamlines lead sales, invoicing, and charging while giving clients a self-service way to manage their lead purchases.
Key Functionalities
Flexible Order Types: Create orders based on a set number of leads or a dollar-amount threshold.
Automated Billing: Enable auto-charge and auto-invoicing for seamless billing cycles.
Criteria-Based Leads: Set specific lead criteria to ensure clients only receive leads that match their desired profile, and/or allow them to tweak the criteria through the order, based on their needs.
Customizable Form Styling: Use the Form HTML tab to match the order form’s look and feel to your brand.
Approval Toggle: Optionally require manual approval before orders are activated.
Discount Management: Allow or restrict discounts on orders with configurable minimum and maximum quantities.
New Client Sign-Ups: Allow new clients to self-onboard by providing an order link.
How to Set Up an Order Form
Step 1: Access Order Form Settings
Navigate to Settings.
Scroll down to the Order Forms tab and click it.
Step 2: Create a New Order Form
Click the New button.
In the form that appears, enter a clear Name and Description for the order form.
Select the Lead Type the order form will be tied to.
Set the Price per lead (or the total order price, depending on your configuration).
Click Save.
Step 3: Configure General Settings
Once saved, additional tabs will appear. Start with the General tab to configure:
Enable: Toggle on if you are ready for this to be accessible and appear as an eligible order form in your client's Delivery Accounts and their Lead Portal.
Require Approval: Toggle on if you want to manually approve each order before it becomes active.
Allow Discounts: Choose whether to permit discounts on this order form.
Minimum/Maximum Order Quantity: Set the minimum and maximum number of leads (or dollar amount) a client can order.
Auto-Charge & Auto-Invoicing: Enable these to automatically charge and invoice clients when orders renew or thresholds are met.
Allow Auto Renewals: Select whether you want the order to renew automatically after it is filled.
Allow New Account Signups: Enable the order link to function as a sign-up page for non-clients, allowing them to register for an account and create an order.
Step 4: Set Up Lead Criteria
Navigate to the Default Criteria tab.
Define the specific criteria (e.g., location, lead source, status) that leads must meet to be included in this order.
Step 5: Customize the Order Form (Optional)
Go to the Form HTML tab to customize the style and layout of the order form to match your branding.
Use HTML and CSS to adjust the form’s appearance.
Step 6: Enable Additional Options
Go to the Order Form Options tab.
Enable any additional features, such as lead field selection, which allows clients to choose specific lead fields they want included with their leads.
Best Practices
Use clear naming conventions: Name order forms descriptively (e.g., “Real Estate Buyer Leads – California”) so clients and your team can easily identify them.
Set realistic minimums and maximums: Establish order limits that align with your lead volume and clients’ capacity to avoid overcommitment.
Leverage auto-charge for renewals: Enable auto-charge for subscription-based orders to ensure timely payments and reduce administrative work.
Test criteria thoroughly: Before launching, test the default criteria to ensure leads matching the order are correctly filtered and delivered.
Brand your forms: Customize the Form HTML to provide a professional, branded experience that builds trust with clients.
Communicate terms clearly: Use the description field to outline order terms, renewal dates, and any important policies.
Troubleshooting
Order form not appearing for clients
Verify the order form is enabled. Disabled forms are not visible to clients.
Leads not being delivered to an active order
Review the Default Criteria to ensure it matches the leads being generated. Adjust criteria if too restrictive.
Confirm that the order has not reached its maximum lead count or dollar threshold.Auto-charge failing
Ensure the client’s payment method is up to date and valid in your payment system.
Check that auto-charge is enabled in the General tab and that the order’s renewal date has passed.Form styling not rendering correctly
Review the Form HTML tab for errors. Use simple, well-tested code to avoid rendering issues.
