Delivery Schedule Tab: Set When Buyers Can Receive Leads

Use the Delivery Schedule tab to create a schedule of when a buyer will be considered for lead delivery.

Written by Gabriel Buck

Overview

The Delivery Schedule tab allows you to define a schedule of when a buyer is eligible to receive leads. This ensures that leads are only delivered during the buyer's preferred receiving hours (e.g. business hours) and avoids sending leads outside of operating times. For example, you can configure a buyer to receive leads only from 9 AM to 5 PM, Monday through Friday. The buyer will not be considered for leads outside this schedule.

Every delivery method has this tab: Webhook, SalesExec Integration, FTP, Email, CSV Attachment, Ping Post, Batch Delivery, SMS Notification and Lead Portal.

Key functionality

  • Default 24/7 delivery: Without a custom schedule, leads are eligible for delivery at any time.

  • Custom delivery scheduling: Specify which days and hours the buyer should receive leads (e.g., Monday–Friday, 9:00 AM to 5:00 PM).

  • Prevents off-hours delivery: Leads will not be delivered when a buyer is outside of their allowed schedule.

Set a delivery schedule

  1. Open the Delivery Schedule tab. In the delivery method setup, navigate to the Delivery Schedule tab. For Ping Post, set the schedule in the Ping and/or Post delivery method settings.

  2. Review the default schedule. The default setting is 24/7 delivery availability unless changed.

  3. Set a custom schedule.

    • Select the Custom Delivery option instead of 24/7.

    • Define the days of the week when deliveries are allowed (e.g., Monday, Tuesday, etc.).

    • Define time windows during each day (e.g., 9:00 AM – 5:00 PM).

  4. Save your configuration. After defining days and times, click Save so the system enforces the schedule. Outside the defined schedule, the buyer will not receive lead deliveries.

  5. Validate delivery behavior. Once saved, confirm that leads are only delivered within the configured hours by testing deliveries before, during, and after allowed windows.

Time zones

Note: LeadExec uses your platform's time zone to determine delivery times. If a buyer is in a different time zone, adjust the schedule in your account to match their local hours. For example, to deliver from 9 AM–5 PM PT, set it to 12 PM–8 PM ET in your account.

Batch Delivery

Batch Delivery also has its own Batch Schedule tab. See Batch Delivery Batch Schedule.

Best practices

  • Align the schedule with buyer availability: Consult with the buyer to set optimal receiving hours based on their actual availability and capacity. Match lead delivery hours to when your buyer is staffed and ready to engage, so opportunities don't go unanswered.

  • Consider the lead type: Emergency services may require 24/7 availability. Business services typically follow standard business hours.

  • Account for time zone differences, especially if your buyers are in different regions.

  • Avoid after-hours drops: Use the schedule to reduce the risk of stale lead delivery or buyer dissatisfaction from late submissions.

  • Use consistent schedules (e.g. regular business hours) where possible to simplify management.

  • Plan for holidays: Create special schedules for holiday periods and monitor for seasonal business-hour changes.

  • Document changes to schedules to help with auditing or troubleshooting later.

Troubleshooting

  • Leads delivered outside the schedule: Double-check that the schedule settings have been saved correctly, that the schedule is associated with the correct delivery method, and that no other delivery rules override timing.

  • No leads delivered during allowed times: Confirm that the lead type, criteria, and time zone are correctly aligned, and that the delivery method is active. For Email delivery, make sure the email address(es) have been properly configured in the To: field in the email delivery method settings.

  • Buyer reports no leads during expected times: Ask the buyer to verify their local time zone and cross-check against the configured schedule.

  • Schedule changes not taking effect immediately: Sometimes caching or system propagation delays occur. Allow a few minutes and recheck.
